Production Assistant & Community Coordinator (Helsinki – Hybrid)

Kulttuurikeskus Ninho ry (NINHO) is a non-profit association that works to develop a more multicultural and plurilingual children’s culture in Finland. Our flagship project is Kolibrí Festivaali, but we also have other projects that are starting to grow in scope.  

The association works mostly through a group of 15-20 active members that do it on a voluntary basis. We do not have permanent employees. However, last year 3 people were employed on a part-time basis to run the basic activities, and nearly 60 artists and other cultural workers could perform and/or organise/coordinate different events and projects during the year on an hourly basis.  

Production Assistant & Community Coordinator Job Opportunity – About the job:  

We are seeking an enthusiastic, socially oriented, organized, and creative Production Assistant & Community Coordinator who could support the production projects of the organization and coordinate our community.  

This is a 10-month contract for a part-time job (approx. 5 hours per day). 

This position supports remote work, as we typically only use office spaces at Globe Art Point (Helsinki) once a week for regular meetings with the production team or at times when productions are underway. 

Production Assistant & Community Coordinator 

The Production Assistant & Community Coordinator works actively within the general production structure of Ninho ry, providing hands-on administrative and operational support while serving as a key link between the community and the production team. The role contributes directly to the successful delivery of key events like Kolibrí Festivaali and Día de Muertos events ensuring that processes remain organized, inclusive, and responsive to participants and collaborators. 

The position supports the full production cycle — from open call and selection to documentation and final reporting — with particular attention to volunteer coordination, participant communication, and community engagement.

Key Responsibilities

  • Keeping our calendar of events, activities, funds, grant applications, and reporting deadlines up to date   
  • Maintain and update project timelines, calendars, and databases to ensure transparency and accountability. 
  • Coordinate and support community-facing aspects of the festival production process, including participating in the artistic selection process and interview, feedback processes, and volunteer management. 
  • Facilitate clear and respectful communication between artists, volunteers, partners, and the production team. 
  • Assist with reporting and administrative follow-up. 
  • Participate in planning and on-site production, supporting welcoming and well-organized Kolibrí and Día de Muertos environments. 

Profile 

  • Excellent communication skills and a strong community-oriented mindset. 
  • Solid organizational abilities with a sense of responsibility and follow-through. 
  • Comfortable working in multicultural and multilingual environments (English required; other languages like Spanish or Finnish are an asset). 
  • Proactive, empathetic, and solution-oriented.
