Office Coordinator Job Opportunity
Kulttuurikeskus Ninho ry (NINHO) is an association that works to develop a more multicultural and plurilingual children’s culture in Finland. Our flagship project is Kolibrí Festivaali, but we also have other projects that are starting to grow in scope.
The association works mostly through a group of 15-20 active members that do it on voluntary basis. We do not have permanent employees. However, last year 3 people were employed on a part-time basis to run the basic activities, and approx. 25 artists and other cultural workers were hired to perform and/or organize/coordinate different events and projects during the year on an hourly basis.
About the job:
We are seeking an enthusiastic, socially oriented, organized and creative office coordinator who could support the basic functioning of the organization.
This is a 10 month contract for a part-time job (Approx. 5 hours per day).
Our office coordinator takes care of tasks that are important to facilitate the work of the volunteer members, and other hired staff for projects. These basic tasks include:
- Schedule and coordinate meetings and events.
- Assist Ninho’s team with tasks related to recruiting more members
- Handle basic communications, including emails, phone calls.
- Assist with grant applications, reporting, and documentation.
- Keeping our calendar of activities, funds, grant applications, and reporting deadlines up to date
- Maintain and update project timelines, calendars, and databases.
- Coordinate and support project teams.
- Prepare and distribute promotional materials, such as flyers and posters.
- Facilitate communication among staff, partners, and community members.
- Assist in organizing community outreach programs and cultural events.
- Participation in planning and producing events when necessary is expected.
Requirements: Good skills in IT. The applicant needs to have a good level of English language skills. Fluency in Spanish / Portuguese and Finnish is considered an advantage.
Location: Since we don’t have an office, the job will be mostly done online as distant work, with regular weekly/monthly meetings with the working team.
Eligibility Criteria:
We hope to take advantage of the KEHA-TE toimisto salary subsidy scheme for non-profit associations. That means the person must be unemployed, eligible for ”palkkatukki”, and have a palkkatuki kortti valid to start as soon as possible.
We are specifically looking for a currently unemployed individual who has a 100% wage subsidy included in their TE employment plan.
What we offer:
- Friendly work environment with a committed and enthusiastic team that believes in what we do.
- Interesting and challenging projects around an important issue, with the possibility of improving Finnish society.
- Flexible time schedule.
- Possibilities to participate in courses, trainings, etc.

We closed the Selection process by 31.8.2024. We’ll start interviewing all candidates soon.
